Pre-Shift Early Checkout Workflow

When a guest departs before the front desk morning shift arrives, the property must have a defined after-hours or self-service checkout path. The guest should be informed in advance via pre-arrival email or in-room materials of the key-return method and the expectation that the folio will be finalized by the incoming shift. If the guest leaves a key in a designated drop box, the box must be tamper-evident and logged each time it is accessed. If the guest departs on foot or by vehicle without a key, the front desk must receive a digital or paper notification before shift change, otherwise the room will remain flagged as occupied in the PMS.

Financial Reconciliation Before Shift Change

The incoming front desk agent must verify the previous day's folio within the first 30 minutes of the shift. This includes posting any late-arrival room service, minibar, or pay-per-view charges that occurred after the guest's physical departure but before system close-out. Any outstanding balance should be settled against the stored payment method, and a receipt emailed if the guest provided an address. If the folio shows a deposit or incidentals hold, the hold must be released with a clear audit trail. Skipping this step is the primary cause of revenue leakage in early-checkout scenarios.

Room Status & Key Logistics

Upon confirmation of departure, the room status in the PMS must be changed from "occupied" to "inspected" or "available," depending on housekeeping's assessment. If the guest left the room in acceptable condition, housekeeping can reset it for the next arrival within the same day. If the room requires cleaning or repairs, it should be marked "out of order" immediately so the front desk does not oversell. Key return logistics depend on the property's after-hours protocol: a locked key drop box, a concierge desk, or a QR-based check-out portal that logs the departure timestamp and triggers the status update automatically.

Morning Shift Handover Checklist

The morning shift should begin with a standardized handover checklist that includes:

  • Verification that all early-checkout folios from the prior shift are closed and charged.

  • Confirmation that room statuses reflect the actual guest departure (not merely "occupied").

  • Inspection of the key drop box log, if applicable, and reconciliation with expected check-outs.

  • Note of any rooms flagged as "inspected" vs. "available" for the day's sell-out analysis.

  • Any guest complaints or damage reports filed during the early-checkout window.

This checklist prevents the shift-change blind spot where an early departure from the previous night is overlooked, leaving the room unavailable for new bookings or, conversely, sold to a new guest while still marked occupied.

Common Oversights & How to Fix Them

  • Oversight 1: Assuming the guest's verbal "I'm leaving at 6am" is enough. Fix: Require written or digital confirmation (email, SMS, QR portal log).

  • Oversight 2: Leaving the room status as "occupied" until the next guest checks in. Fix: Update status immediately upon key return or departure notification.

  • Oversight 3: Not posting incidental charges that post after the guest has left. Fix: Set a daily cut-off time for charge posting, or enable automated folio close-out at midnight.
